Overview

Queensland Cotton is Australia’s oldest cotton ginning and marketing organization. It is part of Olam International - a leading global integrated supply chain manager and processor of agricultural products and food ingredients, supplying various products across 16 platforms in 65 countries. Olam has a direct sourcing and processing presence in most major producing countries catering to 13,600 customers across the world. With a global team of 18,000+ , the company has built a leadership position in many of their businesses – including cocoa, coffee, cashew, sesame, rice, cotton and wood products.

Queensland Cotton Corporation (QCC) successfully used SmartSoft Invoices to scan and archive invoices by predefined criteria.

Case Problems

QCC Australia was looking to integrate an accounts payable solution for one of their divisions, which to allow extraction of specified data from their invoices. QCC wanted the extracted data to be stored in a specific format and order and to be searchable.

Although just a few fields were to be extracted from each invoice, the challenge was there were various types of suppliers and invoice templates to deal with, so the program had to able to quickly identify a template for each invoice and process it.

Solutions

Since the fields, which had to be extracted, had dynamic locations, QCC relied on Smart OCR SDK’s template functionality to automate the locating and recognition of the data. Different templates were created for the various document layouts, with the text regions specified for each template. The software then automatically found the corresponding template for each processed image. This way, the applications could automatically perform OCR and extract the necessary information accurately, without the need to manually specify the location of the data on the form. An additional template auto-generation function was included which enabled the program to intuitively create a template for a new supplier.

In addition the software was enhanced to handle handwriting, stamps and other notes, left manually on the invoices.

Results

SmartSoft’s and QCC’ teams worked collaboratively to achieve the best results and implement Smartsoft Invoices’ functionality, leaving QCC with an effective invoice archiving solution, which offers more transparency and convenience in storing and tracking invoices.
